How to Create a Press Release Publishers Might Actually Want to Cover

A press release should make a journalist’s job easier. Lead with real news, provide verifiable facts, remove marketing filler and give the reader enough context to understand why the announcement matters.

Decide whether you have news before writing

A new website redesign, routine discount or minor feature update may matter internally without being newsworthy to an outside publication. Press releases work better when there is a meaningful launch, study, funding event, expansion, partnership, appointment or public-interest development.

If the story feels weak, do not solve that problem with stronger adjectives. Either find the real implication behind the event or wait for a better announcement.

Write the headline like a fact

A useful headline tells the reader what happened. Avoid claims such as revolutionary, game-changing or market-leading unless there is evidence and the wording is genuinely necessary.

Journalists scan quickly. A specific headline with a company, action and meaningful detail is easier to evaluate than a slogan.

Use the opening paragraph to answer the obvious questions

The first paragraph should cover who, what, when, where and why the event matters. Do not spend the opening describing the company’s mission or history. That background belongs later.

If the release announces research, include the central finding and sample or methodology context early enough that a journalist can judge whether the data is useful.

Make quotes sound like people

Corporate quotes often repeat the headline using softer words. A better quote adds interpretation: why the change matters, what problem the team saw, what surprised the researcher or what customers should understand.

Keep quotes specific and attributable to real people. Never invent expert commentary simply because a release template expects a quote.

Provide evidence and assets

Link to the full study, methodology, product page, media kit or supporting document when those resources help verify the story. Include contact information for someone who can answer follow-up questions quickly.

Journalists are more likely to use a release when the supporting material reduces their research burden.

Distribute after the story is ready

A distribution service can widen reach, but it cannot manufacture newsworthiness. Consider direct outreach to the most relevant journalists before or alongside broader distribution.

Use press release distribution as infrastructure for a real announcement, not as a recurring backlink package. The release should be worth reading before it is worth distributing.
